Assistant Bookeeper / Receptionist

The Front Desk person will perform many tasks including traditional receptionist tasks (such as answering the phones, sorting and distributing, etc.), supply ordering and assisting employees who are working from home.

ESSENTIAL FUNCTIONS:

  • Answer main phone line
  • Record and deliver messages
  • Assist bookkeepers and other employees who are working from home by scanning documents and invoices to them and printing checks from QuickBooks
  • Greet visitors warmly and make sure they are comfortable
  • Ensure reception area is tidy
  • Straighten conference room after meetings and turn off lights
  • Coordinate mail flow in and out of office & sort and distribute mail
  • Check incoming electronic faxes and distribute faxes
  • Travel reservations, changes and cancellations

NON-ESSENTIAL FUNCTIONS:

  • Coordinate birthday list and help set up for birthday, shower or holiday parties
  • Scan and electronically file monthly reports
  • Make bank deposits for company accounts
  • Copy and scan
  • Type letters
  • Load copiers and fax machine with paper
  • Copier and Postage billing and manage codes
  • Order supplies
  • Call-in lunch orders and pick up
  • Keep kitchen stocked and tidy
  • Cleaning the refrigerator in the kitchen
  • Write contents of boxes for storage on the box, record in the binder, update Table of Contents and take boxes to storage unit in basement
  • Print file folder labels for the Accounting group
  • Help maintain office equipment including changing toner cartridges, troubleshoot machines and call for service

SKILLS REQUIRED

Ability to communicate effectively with visitors, co-workers and the general public; professional attitude and appearance; ability to effectively understand and carry out instructions ability to maintain good relations with residents and coworkers.

 

EDUCATION AND EXPERIENCE REQUIRED

Six months to one year of related experience and/or training
